Anchorage International Film Festival Coordinator – Job Description

Position: Film Festival Coordinator

Organization: Anchorage International Film Festival (AIFF)

Reports to: Festival Directors / Board of Directors

Contract: Contract Position

Hours: Full-time during peak festival period (flexibility required, including evenings and weekends), approx. 5-10 hr/week the rest of the year.

Pay: $1,200 per month Feb – Oct, $3,000 per month Nov-Jan

Position Overview

The Anchorage International Film Festival (AIFF) is seeking a highly organized, proactive, and detail-oriented Festival Coordinator to support the Festival Directors and Board of Directors in the planning and execution of the annual film festival that takes place for 10 days in the beginning of December.

The Festival Coordinator serves as a key operational support role and liaison, acting as a conduit between the festival and participating filmmakers, venue operators, sponsors, and the community. This position ensures clear, timely communication; coordinates the collection of assets and information; and assists with travel, scheduling, and festival program preparation.

The ideal candidate is detail oriented, thrives in a fast-paced environment, enjoys working with creatives, and can manage multiple deadlines with professionalism and care.

Key Responsibilities

Festival & Director Support

  • Provide direct administrative and operational support to the Festival Directors.
  • Organize and track schedules, key dates, and deliverables.
  • Support overall festival logistics and operations as assigned.

Artist Liaison & Communications

  • Serve as the primary point of contact for filmmakers and ensure timely and professional communication.
  • Assist with coordination of filmmaker travel, accommodations, and availability and track filmmaker reimbursements.
  • Procure and organize required materials including:
    • Screening files (DCPs, digital files, etc.)
    • Press kits, film stills, trailers
    • Credits, synopses, filmmaker bios
    • Technical specifications

Program & Asset Coordination

  • Work with Festival Directors to compile and organize materials for:
    • Festival program
    • Website listings
    • Online platforms
    • Social media channels
  • Proofread and verify film descriptions and festival materials for accuracy.
  • Maintain organized digital file storage systems (Google Drive, Dropbox, etc.).
  • Coordinate printing and distribution of program and posters.

Website & Social Media Support

  • Assist with uploading and managing content on the festival website.
  • Coordinate updates to online program listings.
  • Support social media efforts across:
    • Instagram
    • Facebook
    • TikTok
  • Help schedule posts, gather visual assets, and ensure brand consistency.

General Festival Operations

  • Assist with venue booking, screening logistics and coordination.
  • Support special events, morning coffee talks, and filmmaker Q&As.
  • Coordinate filmmaker swag bags
  • Help maintain organized documentation and communication systems.
  • Provide general support as needed during festival planning and execution.

Board Support

  • Manage annual calendar
  • Track Board action items
  • Respond to general email inquiries or forward to appropriate staff
  • Regularly check the festival PO Box
  • Help with the admin side of sponsorships, including invoice tracking, thank you letters, and tax letter requests

Community Outreach

  • Manage marketing calendar, collaborating with the Board and Festival Directors to implement strategies that increase community awareness and engagement.
  • Assist the Board in cultivating partnerships with local schools, universities, film programs, and rural communities to expand the Festival’s reach and impact.

Preferred Qualifications

  • Previous experience working with film festivals or live events
  • Experience as an artist or guest liaison
  • Strong organizational and administrative background
  • Interest in independent film and filmmaker relations
